The mapping feature is vital for your business's VAT management in HubSpot. Here's why it's important:

  1. Compliance: Accurate mapping ensures your VAT data aligns with country-specific regulations, helping you stay compliant.

  2. Data Integrity: Proper field mapping maintains consistency between your VAT information and HubSpot records, reducing errors in reporting and calculations.

  3. Efficiency: Customised mappings streamline your VAT-related workflows, saving time and reducing manual data entry.

  4. Flexibility: The ability to create new properties allows you to adapt the system to your unique business needs and local VAT requirements.

  5. Accuracy in Reporting: Correct mappings lead to more accurate VAT reports, which is crucial for financial management and audits.

  6. Scalability: As your business expands to new countries, you can easily set up country-specific mappings, supporting your growth.

How Does It Work?

  1. Country selection: Select the country from the drop-down box. Note: You can select only one country at a time to set mappings.

  2. Map basic company data for Denmark, UK, Sweden, Australia, Norway, Switzerland, and Finland, including company number, company name, country name, company address, industry code, legal form, company registration date, and status.

Specific data fields vary by country: 

  • Australia - state and zip code; 

  • Finland - city and language; 

  • Denmark - registration number, phone, and email; 

  • Norway - municipality, industry description, state, zip code and extra information; 

  • Sweden - industry description; 

  • Switzerland - state, zip code, capital nominal

  • UK - capital nominal.

  1. Review each row to ensure the VAT fields are correctly mapped to HubSpot properties.

  2. Use the "Actions" button to adjust any mappings as needed. Click Save once done.

  3. If a required field doesn't exist in HubSpot, use the "Create a new HubSpot property" button to add it.

  4. Use the search bar to find specific fields quickly if you have many to review.

  5. Click Save Mappings.
